Office Copies

  1. If existence of an office copy is NOT to be made known to the public, follow this approach:
    1. Do not catalog or classify.
    2. Maintain separate bibliographic records for office copies and public copies
    3. In BISON record used for office copy
      1. Copy holdings record
        1. Change cataloging status code to "c" (not to be cataloged)
        2. Add title level note:
        3. OFFICE COPY RECORD-BIB RECORD SUPPRESSED-DO NOT USE FOR PUBLIC COPIES
        4. For classification type, use "T"
        5. Add location code "laoc"
        6. Type "Desk Copy [person’s last name/dept.]" in subfield b
        7. Type office location in copy holdings note field (to display to staff only)
        8. Example: Office Copy=Cataloging
      2. Bibliographic record
        1. Change D/S fixed field from "D" to "S"
    4. Do NOT count in statistics
    5. End-processing
      1. Type label with specific location and "Office Copy"
      2. Examples: Law
        Cat.
        Office
        Copy
        or Law
        Circ.
        Office
        Copy
      3. Tattletape, property stamp, DNC, barcode
    6. Linking
      1. Link as usual. Be sure location code is correct, as noted above (IB1d)
  2. If existence of an office copy IS to be made known to the public, follow this approach:
    1. Catalog and classify as usual.
    2. Maintain a single BISON bibliographic record for both office copies and other copies
    3. Add office copy as a copy to bibliographic record
      1. Add location code "laoc"
      2. Type office location in copy holdings note field (to display to staff only)
      3. Example: Office Copy=McGrath
    4. End-processing
      1. End-process as usual; add DNC stamp
    5. Linking
      1. Link as usual; be sure location code is correct, as noted above (IIB2)
