New Titles Copy/Shared Cataloging

  1. Edit BISON bibliographic printout and/or directly online. (Refer to NOTIS tag tables and MARC 21 Bibliographic Format Manual when necessary)
  2. Edit BISON holdings record.
    1. Change catalog status: Status will usually change from b or a to h.
      • h=cataloging complete
      • b=in process (backlog)
      • a=in process
    2. Change copy status if necessary: Copy status should be 1 for single volume monographic works, 2 for multipart works which are open (still receiving pieces), and 3 for multipart works which have closed.
    3. Change classification type: Status will usually change from I or T to L.
      • I=In process,
      • L=Library of Congress classification scheme,
      • T=Old classification scheme.
    4. Change location code(s) if necessary: Location codes are entered in subfield a (|a) of the holdings field. (See Law Location Codes for BISON.)
    5. For oversize or non-book materials, enter the code for the medium in subfield k (|k). (See Law Location Codes for BISON.)
    6. Add call number beginning with subfield b (|b).
  3. Run the OCLC number macro. This records the OCLC number so our holdings will be added to OCLC in a batch process done by CTS.
  4. Make a call number flag if piece is not going to be sent to bindery. (See Physical Handling section.)
  5. Adding item to New Acquisitions List
    1. If you have linked the item and it was published this year or the year before (or meets the other criteria listed in the New Acquisitions List section), run the newacq macro from the item record so the title will be added to the New Acquisitions list.
    2. If item is going to bindery and it was published this year or the year before (or meets the other criteria listed in the New Acquisitions List section), print holdings record. Highlight author, title, edition, and call number. Write A.L. next to call number to alert Bindery Assistant to add the item to the New Acquisitions List upon return from the bindery.
  6. Statistics slip: Make a slip for each new title, date stamp the slip and put it in the stat slip box.
  7. Place book(s) on the appropriate end-processing or bindery shelf.

Do not enter initial articles in |a. Do not enter punctuation at the end of the field unless it ends with an abbreviation.

Use separate 246 fields for each varying form of title. Enter multiple 246 fields in the following order:

  • 246 fields with 2nd indicator 0
  • 246 fields with 2nd indicator 1
  • Other 246 fields in the note printing order
