BISON New Headings List (Personal Names)

  1. List Preparation
    1. Work only on headings with value of "0" in first column and value of "c" in first position of last column with nothing in second and third positions. These are personal names used as main/added entry. Skip name/title entries.
    2. Mark these personal names with an * (asterisk) in the last column , so they can be spotted easily when searching takes place.
  2. BISON Searching (First time)
    1. Search each personal name heading that matches preceding criteria (those with asterisk). Use "find jx" search.
    2. If an authority record (established heading) is already present, and it is coded
    3. NAME c SUBJ a SER b

      AND there are ONLY 100 and/or 700 fields in the index entries and all entries index properly, cross off the heading.

    4. If an authority record (established heading) is already present that does not match criteria in Step 2, do nothing. Move to next heading.
    5. If an authority record is not found in BISON AND there are ONLY 100 and/or 700 fields in the index entries and all entries index properly, mark "S" (to be searched in OCLC) in far left margin next to line with heading. Move to next heading.
    6. If heading is not found in BISON at all, cross out entire line. The heading must match exactly, so be careful. Double check by searching for the record using the BISON no. and check 100 and 700 fields for heading. If the heading isn't there, it's safe to cross off the list.
    7. Check off the heading. Move to next heading.
  3. OCLC Searching
    1. Search headings marked "S" in OCLC name authority file.
    2. If an authority record that matches the heading on the list exactly is found in the 100 field, Export into BISON. Write "passed" in pencil to right of heading.
    3. If a matching authority record is not found, put an "O" (capital O for Original) in far left margin, to left of "S".
  4. BISON Searching (Second time)
    1. Search each heading passed from OCLC and locate new BISON authority record, using find jx search.
    2. Change heading use codes to: NAME c SUBJ a SER b
    3. <Enter> with DONE in home position.
    4. Cross out line on printout.

    NOTE: If variations in the form of the heading on the index screen exist , yet it appears to be the same person, mark with a question mark (?) next to the asterisk. Do NOT cross out.

    If you have any questions regarding a heading, mark with a question mark (?) next to the asterisk. Do NOT cross out.
