Multi-Volume Piece Designators

  1. Copy Status needs to be coded 2 for currently received or 3 for not currently received. See NOTIS User's Guide, vol. 1, sect. F1 for more information on copy status.
  2. Update Copy Holdings by adding subfield |v at end of call number field of each copy.
    1. At subfield |v add the appropriate designator label, according to what each piece calls itself. Give only enough information to distinguish one piece from another. Use Abbreviations List for correct abbreviation of terms.
    2. Some examples:
      1. volume = v.
      2. year = [yr.]
      3. title = tit.
      4. year and volume (1991 v.1, 2, and 3; 1992 v.1, 2, and 3; etc.)
        = [yr.], v.
      5. Base volume and supplement = [Base vol.],suppl.
      6. more than one volume and supplement = v.,suppl.
      7. volume and index = v.,index
      8. volume, index, and supplement = v.,index,suppl.
      9. replacement volume = v.,[yr.]
      10. volume and year that run concurrently (v.1 1985, v.2 1986, v.3 1987, v.4 1988, etc.) = v.
  3. Item Record
    1. Enum/chron
      1. Subfield |v usually equals the enum/chron, plus any numbering.
      2. Some examples:
        1. v. = v.1
        2. [yr.] = 1992
        3. tit. = tit.7
        4. base vol. and suppl. = (Base vol.) [and] suppl.1992 no.1 (Two separate Item Records)
        5. replacement volumes = v.19 1992
    2. Midspine
      1. Use the midspine to record extra information not needed to distinguish one piece from another.
      2. Example: volume and year run concurrently (v.8 1990; v.9 1991; v.10 1992; v.11 1993; etc.)
        enum/chron = v.10
        midspine = 1992
  4. Piece designator following base call number on flag usually matches enum/chron field exactly.
  5. Update MARC holdings record according to procedures.
