Linking

  1. Single-volume Monographs
    1. Set Copy Status to 1L for LC classification number or to 1T for local classification number.
      See NOTIS User's Guide, vol. 1, sect. F1 for more information on copy status and classification type code.
    2. Update location code. See Law Location Codes for BISON for complete selection. Most common locations are la (circulating monograph shelved in regular collection) and la,n (non-circulating monograph shelved in regular collection).
    3. Creating Item Record
      1. At home position on the holdings screen, type citm 1 ENTER.
        (Copy 2 = citm 2, etc.)
      2. Enter temporary location code if needed.
      3. At ITEM/ID: Scan barcode. Write the letter B next to the barcode to indicate item is linked in BISON.
    4. Add to statistics as one (1).
  2. Multi-volume Monographs
    1. Currently receiving = 2L or 2T
      Not currently receiving = 3L or 3T

    2. Update location code. See list for complete selection. Most common locations are la (circulating monograph shelved in regular collection), and la,n (non-circulating monograph shelved in regular collection).
    3. Update Copy Holdings by adding |v at end of call number field of each copy. Use Abbreviation List for correct abbreviation of terms.
      Examples:
      |v v.
      If all pieces call themselves "volume".
      |v [yr.]
      If all pieces call themselves by year.
      |v v.,[yr.]
      If replacement volume calls itself volume, year is added to distinguish between 2 volumes with same numbering.
    4. Creating Item Record
      1. At home position type citm 1 (citm 2 for copy 2, etc.)
      2. Tab to ENUM/CHRON. Type individual piece designator.
        Example: v.27 or 1991
      3. Use midspine to add other relevant information if it appears on the piece.
        Example:
        ENUM/CHRON: 1991
        MIDSPINE: 44th
      4. Supply temporary location code if needed.
      5. At ITEM ID: Enter barcode. Write the letter B next to the barcode.
    5. Type summ to look at Summary screen. Re-number new item to order correctly, if necessary.
    6. Update MARC holdings record (DHLD) if one exists or create MARC holdings record (CHLD) if there is none.
    7. Add to statistics number of item records created.
  3. Replacement Binders/Volumes
    1. At check-in, green replacement flag will be inserted inside piece.
    2. Link to item record of piece it is replacing by tabbing to 2nd ITEM ID (after existing barcode) and scanning new barcode.
    3. Circulation will remove old binder/volume from shelf and put on DISCARD shelf in Cataloging Department.
